Privacy statement ESG questionnaire

1.  Introduction

This privacy statement is made available to you by PMV NV, Oude Graanmarkt 63, 1000 Brussels.

The purpose of this privacy statement is to inform you which personal data are processed, how these data are collected, what the legal basis for processing is and with whom your data are or can be shared. You can also find information on how to exercise your rights and what to do if you have any questions about the processing of your data.

 

2.  Identification of the data controller

PMV NV acts as the data controller and is responsible for processing your personal data in accordance with privacy legislation.

Personal data may be shared within PMV Group for internal administrative purposes.

Please read this privacy statement carefully before sharing your personal data.

 

3. Which personal data does PMV nv process for which purposes?

3.1. For what purpose does PMV process your personal data?

This privacy statement is made available to you in the context of conducting an ESG materiality analysis for PMV, in collaboration with external consultant Route 2030.

The legal basis for processing your personal data is the legitimate interest of PMV.

The processing is prompted by the need, as a company, to know your position on what your expectations are of PMV in terms of sustainability.

 

3.2. Which personal data are processed by PMV?

PMV processes the following categories of personal data:

  • Identification data, such as name and first name
  • Contact data, such as email address, …
  • Personal information, such as the target group you belong to
  • Answers to questions at the aggregated level of the target groups.

 

4. Use of personal data

PMV group calls on the services of:

  • Route 2030
  • iManage
  • Microsoft O365

 

5.  Not everyone has access to your personal data

5.1.  Within PMV NV and PMV Group

Employees of PMV Group only have access to your personal data insofar as they need it to perform their duties and for the purpose described above. Our employees are contractually bound to treat personal data as strictly confidential.

If required, your personal data may be shared within PMV Group

 

5.2.  Service providers of PMV

When PMV uses other parties to carry out processing activities on its behalf as a processor, it will only appoint processors who provide adequate guarantees with regard to the application of appropriate technical and organisational measures so that the processing complies with the requirements of this privacy statement and the applicable legislation and the protection of the data subject’s rights is guaranteed.

With each processor, a data processing agreement will be concluded that defines the subject and duration of the processing, the nature and purpose of the processing, the type of personal data and categories of data subjects, and the rights and obligations of the processor and the data controller.

 

6. Place of processing

As a basic principle, your personal data will be processed within the European Economic Area.

 

7. Retention of personal data

Unless a specific retention period is required or permitted under applicable law, PMV will not retain and process your personal data for longer than necessary to fulfil the above-mentioned purposes for which the personal data are collected.

Personal data obtained in the context of this materiality matrix will be retained for 3 years.

 

8. Data security

PMV treats your personal data confidentially and with the utmost care. PMV secures its systems – within reason – against loss and/or against any form of unlawful use/access or processing. In doing so, PMV uses appropriate technical and organisational measures, taking into account the state of the art. Your data are adequately secured in accordance with the applicable privacy laws and regulations. The personal data you provide are on servers located in controlled and secure environments.

Without prejudice to the aforementioned efforts, you should be aware that there is always a risk associated with sending personal data over the Internet. We can therefore never fully guarantee the security and protection of your personal data.

 

9. What are your rights as a data subject

Privacy legislation has granted a number of rights to the data subject in relation to the processing of personal data.

If you have provided PMV with personal data, you always have the right to information, to access , and you can ask us to correct, limit, delete or to assert your right to object.
PMV does not apply automated decision-making that produces legal effects concerning the data subject or significantly affects the data subject.
